Smart Dentist now follows every bill from start to finish
This release is about what happens after you create a bill: sending it, getting paid, and fixing it when it was wrong.
Creating a bill was never the hard part of running the money side of a dental practice. The hard part is what comes after. Did it go out? Has the patient paid all of it, part of it, or nothing? If they paid, was it cash or card? And when a bill turns out to be wrong, how do you fix it without leaving a gap in the record?
Smart Dentist 5.2 is about that part. Its release notes open with one line, "Every bill, start to finish", and the rest of this post explains what that means in the app.
You create a bill and land on it
The first change is small, and it is the one I would point to first. When you create a bill, the app now takes you straight to that bill.
That sounds obvious. But a bill is where the next few steps happen. You send it, you record what was paid, and you come back to it when something changes. If creating a bill drops you anywhere else, you have to go and find it again. So everything else in this release starts from the bill's own screen.
It also fits the way bills usually start in Smart Dentist. A card lists the procedures you haven't billed yet, and you select them and create the bill from there. Now that path ends on the bill itself rather than one step short of it.
Sending it the way your patients actually read things
From the bill you can send it by Mail, WhatsApp or Messages.
I chose those three because they are where patients actually read things. Some practices email every invoice. Others mostly talk to patients by message. A billing feature that only offers email assumes every practice works the same way.
The bill still goes out as the PDF the Billing tab already produced: an invoice, a tax invoice or a receipt. What changed is that sending it is now a step on the bill's own screen.
Each payment, with its method
Patients don't always pay a bill in one go. Some pay part now and the rest at the next visit, or pay one part by card and another in cash.
In 5.2 you record each payment on the bill, with the method it was paid by. So a bill isn't simply paid or unpaid. It holds the actual payments that came in.
I care about this because reports are only as good as what goes into them. Smart Dentist's Reports cover revenue, profit, expenses and payments, and you can export figures as tax reports. All of that rests on what you record at the desk. If you record each payment as it really happened, the numbers at the end of the month are much easier to trust.
One timeline per bill
Everything that happens to a bill now shows on one timeline: it was created, it was sent, payments came in, and maybe it was voided and reissued.
This is the part I think will matter most day to day. A patient calls and says they already paid. Someone at the front desk wants to know whether last week's invoice went out. With a timeline you open the bill and read down it. You don't have to piece the answer together from different screens.
It also connects to something Smart Dentist already did for shared practices. The Audit Log in Reports lists every record that was added, edited or deleted, who did it and when. The timeline is the same idea for a single bill, in the place you would look first.
Void and reissue, instead of quietly editing
This is the decision with a real trade-off in it.
Bills are sometimes wrong. A procedure was missed, a price was off, the wrong patient got the wrong line. 5.2 handles this with void and reissue. You void the bill that was wrong and issue a corrected one.
The simpler option would have been to let you edit the bill in place. That's quicker in the moment. But once a bill has been sent, someone else may already have a copy. If the bill can be edited quietly, the record in the app and the PDF on the patient's phone can disagree, and nothing shows why.
Voiding keeps the history honest. The wrong bill stays on the record as voided, the corrected one replaces it, and the timeline shows both. It costs you an extra step. For anything to do with money and tax paperwork, I think that step is worth it.
What else shipped around it
5.2 builds on the two releases just before it, and they are worth mentioning if you haven't updated in a while.
5.1 put 3D treatments on the teeth charts. Crowns, fillings, bridges, braces, implants and more now appear on the patient's teeth. They show on the chart, in lists, in billing and in PDFs. You also choose a 3D look for each procedure in your catalog once.
5.1.1 was a fix release. It fixed a crash that could happen when opening the patient list. I'm not going to soften that one: the patient list is the screen you open most, and it shouldn't have crashed. The same release let you move from a single-dentist plan to the practice plan from Settings > Subscription. Apple switches your plan and refunds the unused part of the old one, so you don't end up paying for two.
What this means if you run a practice
If you're looking for a dentist app, the patient chart is usually what gets you to try one. The billing is what decides whether you keep using it a few months later. Most of the friction in a small practice sits between "the procedure is done" and "the money is in and the paperwork is right".
This release is meant to close that gap on one screen. You create the bill and stay on it. You send it where the patient will see it and record each payment the way it was made. If the bill was wrong, you void it and reissue it rather than overwriting it. Afterwards the bill's timeline shows what happened, in order.
If you already use Smart Dentist, the quickest way to see it is to create your next bill from the unbilled procedures card and follow it through. If you don't, the app is free with up to two patients, which is enough to run a bill from start to finish and decide whether it fits how your desk works.
