Recording treatment and receiving payment are different steps. A practical billing view should help you tell what has been entered, what has been invoiced and what remains unpaid.

From the procedure to the invoice
Start with the procedure you have recorded for the patient. Review the procedure details and amounts before creating an invoice. A treatment estimate is not a payment receipt, and a recorded procedure is not necessarily already billed.
Creating a bill opens the bill itself: what it is for, what is paid, what is still due and since when (due in 5 days, 3 days overdue), with a timeline of everything that happened to it. Send it by Mail, WhatsApp or Messages, and when the patient pays, use Record Payment with the method, the date and a note; the receipt is numbered for you. A wrong bill is voided, or voided and reissued, and keeps its number; money paid over a bill stays as the patient's credit for the next visit.
Review the practice picture
Patient balances answer one question: what remains outstanding? Reports answer another: what does the recorded activity look like across the practice?
Smart Dentist includes revenue, profit, cash and expense reports, drawn as 3D charts beside last year, with PDF and CSV exports; any column opens the bills behind it. Profit is the same number everywhere: what was billed before tax, minus every expense of the period, paid or not. Those reports depend on the completeness and accuracy of what you enter. A report based on incomplete expenses should not be treated as a complete accounting picture.
Choose the right scope
This workflow is for organizing recorded procedures, invoices, payments and expenses. Do not assume an insurance-claims connection or a jurisdiction-specific tax integration from a general billing feature. Check any required integration directly before replacing an existing system.
