On WhatsApp.

How to send an invoice or a receipt on WhatsApp from your iPhone, record the payment when it comes in, and see on each bill what was sent and who paid.

For a lot of small businesses, WhatsApp is where clients actually answer. A PDF in the chat gets opened today; an email waits until next week. The hard part comes later: remembering which invoice went out, whether you already sent a reminder, and who has paid.

The Smart Billing keeps all of it on the bill.

In short

Send the invoice

  1. Make the bill. Open the client and tap New Bill, or tap New Bill on the Dashboard. Add the lines, a discount, VAT and a due date, then tap Create. You land on the bill.
  2. Tap Send. Choose what to send: the invoice, or any receipt for a payment on it.
  3. Tap WhatsApp, then pick the chat. The invoice goes as a PDF, in Arabic or English, following the app's language.

Mail opens with the client's email address and the PDF attached, and Messages with their number. Print and Files are on the same sheet. Every completed send goes on the bill's timeline; a send you cancel records nothing.

When it's late, it reads as a reminder

Send a bill after its due date and the message is already written as a friendly reminder: the invoice number, the day it was due and what is still due, with the invoice attached. The timeline marks it Reminder sent, so you know you've asked.

Smart Billing never messages clients by itself. It reminds you instead: with Bill Due Reminders and Overdue Alerts on in Settings, a notification arrives 2 days and 1 day before a bill is due, and 1 day and 7 days after it goes overdue.

Record the payment, send the receipt

Invoices don't carry a card or online payment link: you record the payment when the transfer or the cash arrives.

See who paid

Every bill opens on one screen: the bill on top, the invoice PDF a tap away, and a timeline of what happened, in order and with dates. Made, sent on WhatsApp, a reminder, paid by transfer, receipt sent. Until the bill is sent, Send is the main button; after that, Record Payment; once it's paid in full, Send Receipt. If you handed an invoice over outside the app, Mark as Sent puts it on the timeline.

Across all your clients, Top Due Bills on the Dashboard shows who owes you, most overdue first, and View All opens Unpaid Bills: every bill with money still due. How to track unpaid invoices.

Fix a mistake without losing the trail

Until the first payment, you can edit everything on a bill. After it, only the dates and notes change. To change the items or amounts, Void and Reissue voids the bill, carries what was paid over as the client's credit, and opens a new bill with the same lines and a new number, so your numbering stays continuous. A payment entered wrongly can be changed or deleted from the timeline.

Questions

Can I send an invoice on WhatsApp from my iPhone?

Yes. Open the bill, tap Send, choose WhatsApp and pick the chat. The invoice goes as a PDF, and receipts go the same way.

Can I see whether an invoice was sent?

Yes. The bill's timeline shows when it was sent and how: Mail, WhatsApp, Messages, Print or Files. For an invoice you handed over another way, Mark as Sent adds it.

Does Smart Billing send payment reminders for me?

No, you send them, in two taps. On a bill past its due date, Send writes the message as a friendly reminder. The app reminds you with notifications before and after the due date.

How do I record a cash or bank transfer payment?

Tap Record Payment on the bill, keep the full amount or type part of it, then choose Cash, Card, Transfer, Cheque or Other and the day it was paid. The receipt is made at the same time, ready to send.

Can clients pay from the invoice on WhatsApp?

No. Invoices don't include a card or online payment link. You record the payment in the app when the money arrives.
